About

Data Transfer is a Windows executable program.

UGA Cooperative Extension offices can use it to:

  • Retrieve reports for samples sent to the Agricultural & Environmental Services Laboratories (AESL).
  • Create submissions for samples to send to AESL.
  • Create mailing lists of clients who have submitted samples.
  • View invoices for analyzed samples.
  • View the number of samples submitted by your county, along with your ranking compared to other counties.
  • … and more.

Installation

The College's Office of Information Technology (OIT) handles all Data Transfer installations.

They can be contacted by emailing oithelp@uga.edu or calling (706) 542-2139.

Note that Data Transfer runs on Windows desktops only. It will not run on cellphones at this time.

Running Data Transfer

You should see a Data Transfer icon on your Desktop as well as your Windows Start Menu:

Confidentiality

Although all our data is subject to Open Records requests, there is an implicit assumption of confidentiality.

We do not provide client information to third parties unless we receive an official Open Records request that has been vetted by UGA's legal team.

We sometimes receive requests for summary data, which we will provide after redacting any client information, including name and address.

If you are asked to provide data to a third party, please remove any client information, or contact us to provide the information instead. We will be happy to do so.

Per our new ISO-2017 requirements, reports emailed from the laboratories now include this statement:

Privileged Communications: This transmission (and/or the documents accompanying it) may contain confidential information belonging to the sender who is privileged. The information is intended only for the use of the individual or entity named in the distribution. If you are not the intended recipient, you are hereby notified that any disclosure, copying, distribution or the taking of any action in reliance on the contents of this information is strictly prohibited. Retrieving Reports

New Results

At the end of a business day, you may receive an email notification of new results:

Open Data Transfer.

You will see the categories for new results starred and purple:

Click a starred category to view its new results. If we've received samples but haven't completed analysis, you'll also see them listed here:

An email icon indicates that Data Transfer has the client's email address. If there's no email icon, but you know the client's email address, you can still email the report.

Click:

  • Edit to correct data entry errors.
  • Reports to print reports for mailing.
  • Email to view and email the reports.
  • Envelopes to create envelopes with POSTNET barcodes.
  • Fertilizer Calculator to generate alternative fertilizer recommendations for soil samples.

Past Results

After choosing a category, you have the option of viewing results by the most recent 60 days (default unless there are new results), 120 days, 240 days, 365 days, or by fiscal year:

Click one or more dates to download all reports for those dates:

An opened email icon indicates that a report has been emailed to the client through Data Transfer.

You can download reports for individual clients by clicking their names:

By default, data is ordered by most recent date, but you can also sort by name by clicking the Client button. This is useful for searching for clients and for grouping their data together:

Hint: You can press Ctrl+F to quickly search for a name within the page.

Submitting Samples

Click the Submission Forms button at the top of Data Transfer.

Animal Wastes

Animal Waste Submission Form For Land Application

  • Enter the client information.
  • For Litters or Manures, select one Kind and one Condition.
    For Lagoons, choose one Kind.
  • Select an Application Method.
  • Select the Tests Requested at the bottom.
  • Click Submit and Print.
    (Pressing Ctrl+P will not submit the form.)

Free Poultry Litter/Manure Submission Form

To qualify for the free test, you must use the form in Data Transfer. *

  • Enter the client information.
  • Answer all starred * questions.
    You will not be able to submit the form unless all are answered.
  • The free basic test is checked by default (and cannot be unchecked).
    If you want additional analysis, enter it at bottom, but note that the additional analysis will be billed.

Cotton Petiole

Cotton Petiole Form (for individual samples)

Use this form to submit individual cotton petiole samples. (Do not use the Plant Submission Form to submit cotton petioles.)

  • Enter the client information.
  • Enter the Sample ID and Date Sampled.
  • Select the appropriate Period of growth.
    (Recommendations are based on the levels of phosphorus, potassium, and nitrate for each period.)
  • Click Submit and Print.
    (Pressing Ctrl+P will not submit the form.)
  • Note that we need a separate printed form per sample.
    If you have multiple samples for the same client, the form will not be cleared, so you can simply change the Sample ID each time you submit.

Cotton Petiole Kits

Use this form if your client wants recommendations based on a plant tissue sample along with two or three petiole samples, and they want to send the samples directly to the lab instead of going through the Extension office.

  • Enter the client information.
  • Select Leaf + 2 Petioles ($55) or Leaf + 2 Petioles ($70)
  • Enter the number of kits needed.
    (Each kit contains UPS Express Envelopes with shipping labels and sample envelopes for each sampling time.)
  • Enter the Field IDs.

The Laboratory will receive the grower information submitted on-line and send the kit(s) directly to the grower by US Postal Service.

Feeds & Forages

Choose the appropriate form based on the animal class:

  • Feed and Forage Testing Application Form for Beef and Dairy Cattle
  • Feed and Forage Testing Application Form for Swine, Sheep, and Goats
  • Feed and Forage Testing Application Form for Horses

Print the form. (We do not have online submission for feeds at this time.)

  • Write the client information, including date submitted and sample IDs.
  • Check the Animal Class that is most applicable.
  • Check the Test(s) Requested.
  • Check the most appropriate Type of Feed and Forage.

Microbiology

Choose the appropriate form based on the intended water use:

Drinking Water: Total Coliform and Escherichia coli in Drinking Water
Recreational Water: Escherichia coli in Recreational Water
Surface Water: Fecal Coliform in Surface Waters
Irrigation Water: Total Coliform and Escherichia coli in Irrigation Water
Good Agricultural Practices (GAP) Program: Total Coliform and Escherichia coli - GAP
EPD Drinking Water Compliance: Total Coliform and Escherichia coli in Drinking Water for Compliance/Regulatory Purposes

Print the form. (We do not have online submission for microbiology samples at this time.)

Fill out all the information, paying attention to the instructions on the first page, specifically:

  • Samples are accepted for analysis on Monday through Thursday from 8:00 a.m. to 4:00 p.m.
  • Samples must be accepted for analysis within 24 hours of the collection time.

Plant Tissue

Plant Submission Form

  • Place samples in a 10x13 paper envelope or paper bag, labeled with your name, address, the crop, and sample description.
  • Enter the client information.
  • Other information on the form helps the Laboratory analyze and report the results.

    For example, if you select a Crop from Handbook, the report will show recommendations and/or sufficiency ranges.
    Otherwise, the report will simply show analytical data with no interpretation.

  • Note that we need a separate printed form per sample.
    If you have multiple samples for the same client, the form will not be cleared, so you can simply change the Sample ID each time you submit.

Soils and Greenhouse

  • Enter the client information.
  • Select repeat clients from the Account IDs screen.

    When we have completed at least 100 routine (S1) samples for a client during a fiscal year, their price drops from $6 to $5 per sample.

    Selecting them from the Account IDs screen ensures that we capture that information.

  • Note that you cannot select the S1 test. It will be checked automatically when you enter crop codes.
  • When sample IDs are consecutive, you can press Ctrl+Down Arrow under a sample ID to enter the next one.

    This also works if a number is embedded in a sample ID.

    Examples:

    • Pressing Ctrl+Down Arrow four times under sample 1 will enter 2, 3, 4, and 5.
    • Pressing Ctrl+Down Arrow four times under sample A1 will give you A2, A3, A4, and A5.
    • Pressing Ctrl+Down Arrow four times under sample 1A will give you 2A, 3A, 4A, and 5A.
  • If the same crop code is requested for multiple samples, you can copy it down using Ctrl+Down Arrow.
  • If you have accidentally entered an extra sample, press Ctrl+Delete to delete it.
  • If you need to look up a crop code, click the tree icon.
  • If you have samples for more clients, click Next Client to enter their information.
  • When you are ready to submit, click Print Forms.
  • If you want to enter samples throughout the day and then submit all at once, you can click Save to save your work, then click Retrieve to load your last save.

    Note that the Retrieve button retrieves the last submission only (whether or not you have clicked Save).
    If you need to make changes to an earlier submission, let us know at soiltest@uga.edu.

Water & Ponds

  • Select the appropriate form:

    The instructions below (and the screenshot) refer specifically to the Water Submission Form.

  • Click the Water tab.
  • Enter the client information.
  • Enter the sample ID and sample location if different from the client's address.
  • Select the type of water. You can also enter a different type of sample, but you will not receive recommendations or EPA levels if you do so.
  • Enter the well depth and diameter if known.
  • Enter the end use, reason for testing, and date/time of collection if known.
  • Select the test(s) needed.
  • If there are multiple samples for a client, click the 2nd, 3rd, 4th, etc. buttons to add them.
  • When you are ready to submit, click Print Forms.
  • If you want to enter samples throughout the day and then submit all at once, you can click Save to save your work, then click Retrieve to load your last save.

    Note that the Retrieve button retrieves the last submission only (whether or not you have clicked Save).

County Program Samples

County Program Support

County extension agents often need laboratory analysis to support educational programs in their county that address issues specific to their clients' needs. These analyses are referred to as "County Program Samples." AESL supports Extension programs by providing an amount of credit to each county every year to be used for free analysis for their county programs.

The amount of county program funds is now calculated as $100 + 1% of the amount of income generated by your online submission samples for the previous fiscal year. For example, if you used Online Submission last year to submit $5,000 worth of samples, your county program total this fiscal year would be $100 + $50 = $150. This amount will be used towards analysis of samples and bookkeeping of available credit for each county provided by the laboratory. The amount of credit available for free county program samples will be updated in Data Transfer once we’ve processed the samples. Any unused credit provided by the laboratories would not carry over to future fiscal years.

When submitting County Program samples, write "County Program" next to the samples on the submission forms. You may use the Online Submission forms if these are soil or water samples.

We do not offer reduced fees for school projects. You may use county program funds for this purpose at your discretion.

Submitting County Program Samples

Hand-write "County Program" next to the samples on the submission forms. (We will not notice it if it is typed.)

Do not write "Troubleshooting," "School Project," "County Agent," "Free," … or the samples may get invoiced.

If you absolutely must change a sample to County Program after it has been invoiced, then you absolutely must provide us with:

A letter on letterhead from the County Agent explaining why it should be a County Program.

This is not a valid explanation:

"Please change lab #12345 to County Program."

The auditor requires a real explanation when a sample is changed to County Program after invoicing.

Please note that we cannot apply a portion of a sample's analysis cost to County Program. It's either completely free or completely paid.

County Reports

View Invoices

Shows a listing of outstanding and paid invoices:

Yearly Totals

Shows a listing of samples submitted by month and calendar year, broken down by category.

Also shows your county's ranking among other counties. In this example, Clarke County is in 6th place for 2019 water samples:

Client Mailing List

Provides a listing of client contact information for a given time period, optionally filtered by type of sample or crop category.

Household Well Map

Shows levels of water parameters, color-coded by range.

Useful for finding potential "hot spots" in a county. For example, uranium tends to be higher in north Georgia than in south Georgia.

Troubleshooting

"I'm copied on reports but some of my clients aren't getting them."

  1. Confirm the client's email address.
  2. Have the client check their Junk or Spam folder.
  3. The client's email server may be temporarily down. Try again later.
  4. The client's Internet Service Provider (ISP) may be blocking some emails.
    Try emailing an attachment from your account, and let us know if it works from your account but not through Data Transfer.
    We may need to work with the ISP to get this resolved.

"My water report is missing EPA levels."

This means that a water type wasn't selected during submission.

Let us know, and we'll code it as a drinking water.
